How we handle your data.

We collect very little data, and only when you write to us: we use it to reply to you.

This notice explains, under Articles 13 and 14 of Regulation (EU) 2016/679 (GDPR), how we process the personal data of people who visit this site and of those who contact us through its forms.

01Who is the data controller

The controller is Methodia srls, registered office at Via Generale Giuseppe Valle, 83 – 00148 Rome, Italy, VAT no. 17073671004.

For any request about your data you can write to info@methodia.it.

02What data we collect

We only collect three categories of data.

  • Data you send us by filling in the “Tell us about a problem” and “Request a quote” forms: name, company, email address and whatever you choose to write in the free-text fields (description of the process or project, tools in use, deadlines, material to look at). For a quote, also the conversation with the assistant, described below.
  • Technical browsing data, such as IP address, date and time of the request and page visited, logged by the servers that host the site so that it works and stays protected. During a quote request the IP address is also used to limit abuse (number of requests per hour), only temporarily or in hashed form.
  • Anti-spam data: on the contact page only, we use Google reCAPTCHA v3, which may collect information about your device and how you interact with the page (for example IP address and cursor movements) to tell a person from an automated script.

In the free-text fields, please don’t enter personal data about other people or special categories of data (health, political opinions, origin and the like): we don’t need them to reply.

03Why we use it and on what basis

  • To reply to your request and, if you ask, to assess a project or prepare a quote. Legal basis: pre-contractual measures taken at your request (Art. 6(1)(b) GDPR).
  • To send you news and commercial offers, only if you ticked the optional box. Legal basis: consent (Art. 6(1)(a) GDPR), which you can withdraw at any time.
  • To protect the forms from spam and abuse and keep the site secure. Legal basis: the controller’s legitimate interest (Art. 6(1)(f) GDPR).
  • To comply with legal obligations, if the request leads to a contractual relationship. Legal basis: legal obligation (Art. 6(1)(c) GDPR).

We don’t use form data to send you promotional communications without your specific consent, and we don’t do profiling.

04Quote requests with the assistant

Before you start, we email you a 6-digit code to check that the address is yours. Until you confirm it, we don’t record the request and don’t write to you about anything else.

You then describe the project, by typing or, if you like, by dictating (see below). An AI-based assistant (Qwote, our quoting engine), which uses a language model by Anthropic, shows you what it understood, asks a few questions when needed and suggests features you might need; we record which ones we suggest and which you choose, to prepare the proposal and improve the suggestions. From what you write it works out, on our price list, an indicative and non-binding estimate, which we also send you by email.

Dictation is optional and uses your browser’s speech recognition: the audio goes from the browser to its provider’s service (for example Google for Chrome, Microsoft for Edge, Apple for Safari), which transcribes it under its own terms. Methodia neither receives nor keeps the audio: it only receives the text you send, as if you had typed it. If you prefer, type.

To come back to the request we give you a link, valid for 30 days: whoever has it can see the request and the estimate, so don’t share it with anyone who shouldn’t. If from the estimate you choose “Let’s talk about this estimate”, the contact form adds the request reference to your message, to link them.

The estimate is not a decision producing legal effects concerning you (Art. 22 GDPR): every request reaches the people at Methodia, and the final proposal is always prepared by a person.

If you gave the optional consent to commercial communications we may also write to you with news and offers; you can withdraw it at any time by writing to info@methodia.it, with no effect on your request.

Please don’t write other people’s personal data, credentials or confidential information in the conversation: they aren’t needed for the estimate.

05Who we share it with

We don’t sell data. It may be processed by providers that help us run the site and receive your messages, appointed as processors where required:

  • our email service provider (Aruba), which delivers the messages sent from the forms to the info@methodia.it mailbox;
  • the provider that hosts the site (Google Cloud, through Firebase App Hosting);
  • Google, for the reCAPTCHA service;
  • Anthropic (United States), which provides the language model behind the quoting assistant: it receives the text of the conversation and, under its commercial terms, does not use it to train its models;
  • Resend (United States), which sends the emails of the quote flow (verification code, estimate, alerts to our team);
  • DigitalOcean, which hosts the quoting service on servers in the European Union;
  • only if you use dictation, your browser’s speech recognition service (for example Google, Microsoft or Apple), which receives the audio directly from the browser under its own terms: it is not one of our providers and Methodia sends it no data.

Messages are read by the people at Methodia who handle replies.

06Transfers outside the European Economic Area

Some providers, Google, Anthropic and Resend in particular, may also process data outside the European Union. In those cases the transfer relies on a European Commission adequacy decision (such as the Data Privacy Framework) or on standard contractual clauses, as applicable to each provider.

07How long we keep it

Messages sent from the forms stay in our mailbox for as long as needed to reply and to handle any negotiation. If no relationship follows, we delete them when they are no longer needed. If one does, we keep them for the duration of the relationship and for the periods required by law.

Quote requests (contact details, conversation, estimate and related emails) are deleted automatically 24 months after the last activity. Some parts go sooner: verification code requests after 7 days, the text of sent emails after 30 days, the assistant’s full processing records after 90 days. If the request leads to a relationship, the data we need moves to our management systems and follows the periods of the relationship and of the law.

Technical browsing data is kept by the hosting provider only for as long as strictly necessary for security and for running the service.

08Your rights

At any time you can ask us to access your data, correct it, delete it, restrict its processing, receive it in a readable format (portability) or object to processing based on legitimate interest (Arts. 15–22 GDPR).

For quote requests we can give you all the data we keep in a readable file, or delete it entirely: just write to us from the same email address.

To exercise your rights write to info@methodia.it. If you believe the processing is not lawful you can also lodge a complaint with the Italian data protection authority, the Garante per la protezione dei dati personali (garanteprivacy.it).
